Terms of Hire

The agreement you book on. It covers what you get, what you pay, what the venue has to be, and who is responsible for what — written so you can actually read it before you hand over a deposit.

Who these terms are between

They are between BUBL Bubble Soccer Co. of Victoria, British Columbia (“we”, “us”, “BUBL”) and the person or organisation named on the quote (“you”). Paying a deposit means you accept them.

If you are booking for an employer, a school, a club or anyone else, you confirm you are allowed to agree to these terms on their behalf, and that whoever pays the invoice is bound by them too.

Where anything here disagrees with what we put in writing on your quote or in an email, the quote or email wins. Nothing said on a phone call changes these terms until one of us writes it down.

What a booking includes

Every package, whichever one you pick, comes with all of this:

  • Six sanitised bubble suits in mixed sizes
  • Two goals, cones, pinnies and match balls
  • A host who referees and runs every game
  • The full game mix — soccer, King of the Hill, Bulldog, Sumo, relays
  • Full setup and teardown either side of your play time
  • Safety briefing, digital waivers and on-site first aid
  • $5M liability coverage
  • Travel anywhere in Greater Victoria

What changes between packages is play time, group size and how many hosts come with us. The games are the same in all of them — your host reads the group on the day and keeps the mix moving rather than sticking to a script.

Booking, deposit and payment

Deposit
30% of the total, minimum $150. Your date is not held until it clears — we take enquiries in order, and a date stays open to everyone else until someone pays.
Balance
Due on the day, before play starts. Schools, districts and corporate clients can be invoiced instead, net 30 from the event date.
Short-notice bookings
Anything booked less than 72 hours ahead is paid in full at the time of booking and is not refundable. Under 48 hours we add a $75 rush fee, if we can take it at all.
How to pay
E-transfer, card or cash. Card payments are handled by our payment processor; we never see or store your card number.
Prices
All prices are in Canadian dollars and hold for 30 days from the date on your quote. Taxes, where they apply, are shown on the quote and the invoice.
Late payment
Invoices unpaid 30 days after the due date carry interest at 1.5% per month on the outstanding balance.

Group size, play time and time on site

We bring six bubbles, so six people are on the pitch at any moment and everyone else rotates in on five-minute games. Group size is a rotation problem, not an equipment problem — but it does have limits.

  • Minimum 6 players. Smaller groups are welcome and pay the same package price.
  • Maximum 24 in a single session. Above that, book a School & Youth Day or a Festival day, where players cycle through in open rotation instead of fixed teams.
  • Nineteen players or more needs a second host — included in the Full Tournament, School and Festival packages, $110 on the smaller ones.
  • Tell us the real headcount. If far more people turn up than you booked for, we will run what we safely can in the time booked, and nobody gets a refund for waiting.

Package times are play time. We arrive 45 minutes before your start time to set up and stay about 30 minutes afterwards to pack down. Your field, park permit or facility booking has to cover that whole window, not just the play time.

The venue is yours to provide

You provide the space — a backyard, a park, a school field or a facility you have booked — and any permit, rental agreement or permission that goes with it. We will tell you exactly what the space needs to be:

  • Flat grass, turf or gym floor, at least 20 m × 12 m
  • No gravel, concrete, slopes, sprinkler heads, goalposts left in the ground or dog waste
  • Vehicle access within 50 m of the pitch
  • A standard power outlet within 30 m, or add a generator for $45
  • Room for spectators to stand at least 3 m back from the playing area

If you would rather we found and booked somewhere, we can: $50 coordination fee plus the facility's own cost. We will not promise a specific venue until it is confirmed in writing by the facility.

If the space is unusable when we arrive — waterlogged, locked, occupied, too small, or a permit that never came through — we will try to move you to another date at no charge. If nothing can be salvaged, it is treated as a cancellation on the day under the cancellation terms. Check your venue booking the week before; we will send you a reminder seven days and 48 hours out.

Travel and service area

Travel anywhere in Greater Victoria is already inside the package price. Beyond that, one flat fee per zone, round trip, with a minimum booking value so the drive is worth making.

We do not currently take bookings on the Lower Mainland — the ferry crossing makes it something we cannot do well or price fairly. If you are not sure which zone you are in, ask before you book rather than after.

On the day

  • Someone 19 or over has to be there for the whole session and be responsible for the group. For under-19 players that person also handles guardian consent.
  • Everyone signs a waiver before they play. No waiver, no bubble — see Insurance & Waivers.
  • Your host runs the session and their word is final on rules, matchups and whether play continues.
  • Zero tolerance on alcohol and drugs before or during play. We will refuse a player, or end the session, without a refund. Book the bubbles before the bar.
  • We can stop a session on safety grounds at any time. If we stop it because of weather or our own equipment you are covered by the cancellation terms; if we stop it because of how the group is behaving, you are not.
  • If we cannot start on time through no fault of ours — the gate is locked, the field is still in use, the group has not arrived — we hold the slot for 20 minutes, then bill waiting time at $75 an hour. Play time is not extended past the booked window.

Equipment, damage and loss

The kit is ours and stays in our care. Normal wear from a hard session is on us — that is what the equipment is for.

Damage or loss from deliberate misuse, ignoring the safety rules or the host, or letting the kit out of the playing area is charged at repair cost, or replacement cost where it cannot be repaired. We will show you the invoice.

  • Nothing sharp on or in the bubbles: keys, watches, jewellery, pens, belt buckles, phones
  • No metal or moulded studs, no bare feet, no sandals — trainers or turf shoes only
  • Bubbles stay on the marked pitch and off roads, car parks, slopes and water
  • Nobody wears a bubble unsupervised, and nobody under the influence wears one at all

Photography and filming

We take photos and short video at some bookings and may use them to show people what a session actually looks like. Tell your host at the briefing, or tick the box on the waiver, and we will not use images of you or your group at all.

A cut highlight reel of your own session is an add-on at $95. Your guests keep the rights to anything they shoot themselves, and we ask that phones stay off the pitch while a game is running.

Cancellation, weather and rescheduling

In short: deposits are non-refundable but become a credit if you give us 14 days or more; play continues in the rain; and if we call a session off for safety you choose a full refund or a credit.

Insurance, waivers and liability

We carry $5M commercial general liability cover and can name your venue or municipality as an additional insured where a permit requires it. Every participant signs a waiver.

Bubble soccer is a physical contact activity and carries a real risk of injury. Players take part at their own risk, on the terms of the waiver they sign. We are not responsible for personal property brought to the session, or for injury or loss caused by someone ignoring the safety rules or their host.

Where we are liable, our liability is limited to the amount you paid for the booking. Nothing in these terms limits liability for death or personal injury caused by our negligence, or anything else that cannot be limited under the law of British Columbia.

If something goes wrong

Tell your host on the day. Most things can be fixed there and then, and almost nothing can be fixed a fortnight later.

If that does not settle it, email info@bubblesoccerrentals.com within seven days with your booking date and what happened. We reply within five working days, and we will tell you plainly whether we think we got it wrong.

Changes and governing law

We update these terms from time to time. The version in force is the one published on the day you paid your deposit — a later change does not alter a booking you have already made. The date at the top of this page tells you when it last changed.

These terms are governed by the laws of British Columbia and the applicable laws of Canada, and the courts of British Columbia have jurisdiction over any dispute.
