Privacy Policy
We collect what a booking needs and not one field more: enough to quote you, run your session safely, and keep the records our insurer and the tax office require.

Who we are
BUBL Bubble Soccer Co. runs mobile bubble soccer sessions from a base in Victoria, British Columbia. We are the organisation responsible for the personal information described here, and we handle it under British Columbia's Personal Information Protection Act.
Privacy questions, corrections and access requests all go to the same place: info@bubblesoccerrentals.com or (250) 812-0730.
What we collect
Only what a booking actually needs. We do not run accounts, logins, loyalty schemes or advertising profiles.
| Where it comes from | What it is |
|---|---|
| Enquiry form | Name, email, event date, town, number of players, package, and whatever you write in the notes |
| Booking and payment | Billing name, phone, invoice address for schools and companies, and a record of what was paid. Card details go straight to our payment processor — we never see or hold a card number |
| Waivers | Each player’s name, age or date of birth, emergency contact, any medical information you choose to declare, and a guardian signature for anyone under 19 |
| On the day | Incident reports if anything happens, and photos or video only where consent was given |
| Emails, texts and calls | What you send us, kept with the booking it relates to |
| This website | Aggregate page views and referrers through Vercel Web Analytics. No cookies, no advertising pixels, nothing that identifies you |
Why we use it
- To quote for your event and answer your enquiry
- To run the booking — confirmations, reminders, and getting the right kit to the right field
- To keep people safe: sizing, medical declarations, emergency contacts and first aid
- To meet our insurance obligations and record incidents
- To invoice you and keep the financial records the Canada Revenue Agency requires
- To show what a session looks like, using photos, only where consent was given
We do not sell personal information, we do not trade mailing lists, and we do not send marketing to people who have not asked for it.
Consent and your choices
- Enquiring or booking
- Sending an enquiry or paying a deposit is your consent for us to use your details to run that booking.
- Photos
- Always a separate, optional tick on the waiver, and you can change your mind on the day by telling your host. Declining changes nothing else about your session.
- Withdrawing consent
- You can withdraw consent at any time. Withdrawing consent for waiver information means we cannot let that person play — it is the information that makes the session safe.
- Marketing
- We only email you about your own booking unless you ask to hear from us. If you do, every message has an unsubscribe link.
How long we keep it
| Record | Kept for |
|---|---|
| Enquiries with no booking | 12 months |
| Bookings, invoices and payments | 7 years, as tax law requires |
| Waivers and incident reports | At least 7 years |
| Anything involving a player under 19 | Until 7 years after they turn 19 |
| Photos and video | Until you ask us to stop using them |
The longer periods on waivers exist because a claim can be brought long after the event, and because for a minor the clock does not start until they are an adult. After the period, records are deleted or securely destroyed.
This website
- No advertising cookies, no tracking pixels, no third-party ad networks.
- Vercel Web Analytics gives us aggregate page counts without cookies and without identifying visitors.
- The enquiry form sends us what you type in it. Nothing else.
- Our video link opens YouTube in a new tab rather than embedding a player, so YouTube does not get to set anything in your browser from our pages.
How it is kept
Access is limited to the people running your booking. Waivers stay in the waiver platform rather than being emailed around, devices are passcode-locked, and any paper form is digitised and then destroyed.
No system is perfect. If we ever had a breach that could put someone at real risk of significant harm, we would tell the people affected and report it as the law requires.
Your rights
You can ask what we hold about you, ask for a copy, and ask us to correct anything wrong. Email info@bubblesoccerrentals.com and we will reply within 30 days, which is the maximum the law allows us.
If you are not happy with how we handled it, you can complain to the Office of the Information and Privacy Commissioner for British Columbia. We would rather you came to us first, but that route is yours whether we like the complaint or not.
Children
We do not market to children and we do not collect information directly from them. A parent, guardian or the booking organisation provides what we need for a young player, and that information is used only to run their session safely.
Changes to this policy
When this policy changes we update the date at the top of the page. If a change materially affects how we use information you have already given us, we will tell you rather than leaving you to notice.
Not covered here?
Ask a person. We answer enquiries within one working day, and we would much rather explain something before you book than argue about it afterwards.
