Cancellation & Weather

Rain is fine — lightning is not. This is exactly what happens to your money in every case, whether it is you calling it off, us, or the sky.

The short version

  • Rain is not a cancellation. Bubble soccer is better on wet grass and we play through it.
  • If we call a session off for safety, you choose: a full refund, or a credit.
  • If you cancel, what happens to your money depends only on how much notice you give.
  • Thinking of cancelling because of the forecast? Tell us by 5pm the day before and we will move you once for free.

Your deposit

A 30% deposit, minimum $150, holds your date. It is what pays for turning other bookings away, so it is non-refundable.

It is not lost, though. With 14 days' notice or more it transfers once to any other date within 12 months, or becomes a credit you can use whenever you like inside that year.

If you cancel

Notice runs from when we receive your message, not when you wrote it. Everything below is a share of the full booking value, travel fee included.

Bookings made less than 72 hours before the event are paid in full at the time of booking and are not refundable at any notice — there is no window left in which we could resell the date.

Moving a booking

Moving is nearly always better than cancelling, for both of us, so the first move is free.

First move
Free with seven days’ notice or more, to any date within 12 months, subject to what is still open in the calendar.
After that
$75 per move, and the same seven-day notice.
Price differences
If you move onto a date or a package that costs more, you pay the difference. If it costs less, the balance stays on your booking as credit.
Under seven days
We will still try, but if we cannot fill the original slot it counts as a cancellation on the table above.

If we cancel

Sometimes it is us: unsafe weather, a vehicle or equipment failure, or a host who is ill and cannot be replaced. We will always try to send another host or find another date first.

When we cancel, you choose — a full refund of everything you have paid, deposit included, or a credit for the full amount valid 12 months. Refunds go back to the way you paid, within five working days.

We are not able to cover costs you have with other people — a hall you rented, a cake, a caterer — which is why we would rather move a booking early than cancel it late.

What we do and do not play in

We play in rain. We play in wind, cold and drizzle. Bring a change of clothes and it is one of the better sessions you will have.

We stop, or do not start, for any of these:

  • Lightning or thunder within about 10 km. We clear the pitch and wait 30 minutes from the last strike or rumble before restarting.
  • Sustained wind above 40 km/h — an empty bubble becomes a sail.
  • Extreme heat, or an Environment Canada heat warning for the area.
  • Wildfire smoke at AQHI 7 or above.
  • A surface that has become unsafe: standing water, ice, hidden hazards under snow.

Your host makes that call on site and it is not up for negotiation. If we lose part of a session to a weather hold, we make the time up where we can, and where we cannot you get a pro-rata credit for the play time you missed.

If you want to call it off because of the forecast

Forecasts are not cancellations, and a wet forecast in Victoria is most weekends between November and March. If you decide not to go ahead, the standard notice table applies — with one exception, and it is a generous one:

Tell us by 5pm the day before that you want to move because of the weather and we will reschedule you once, free, whatever notice period you are in.

Winter bookings

From November to March we will quote a covered venue by default where one is available, or agree a rain date with you at the time of booking so nobody has to make a decision at 7am on the morning.

Short daylight matters too: outdoor sessions in that window need to finish by dusk unless the field is lit.

If the venue falls through

The venue is yours to arrange and yours to confirm, so a venue that cancels, closes the field or never issues the permit is treated as a customer cancellation under the table above.

In practice we will move you once at no charge if you tell us as soon as you find out. We send venue reminders seven days and 48 hours before your session — please act on them, because a locked gate on the morning is the one situation nobody can fix.

Late starts and waiting

We arrive 45 minutes early and are ready at your start time. If we cannot start because the group has not arrived, the gate is locked or the field is still in use, we hold for 20 minutes at no charge, then bill waiting time at $75 an hour.

Play time is not extended past your booked window when the delay is at your end — there is usually another booking, or a facility closing time, on the other side of it.

How to cancel or move

Email info@bubblesoccerrentals.com or call (250) 812-0730. If you call, follow it up in writing so we both have the same record — the time we receive your message is what sets the notice period.

Include the booking date and the name it was booked under. We will confirm within one working day, and tell you exactly where that leaves your deposit.
